Visibility & PR Agency

A visibility and PR business with 460+ completed projects needed one place to see pipeline, revenue, workload, and performance, not another disconnected tool.

Context

This agency helps brands grow authority, presence, and market positioning. Delivery was proven at scale, but day-to-day operations lacked clarity: no single view of pipeline, revenue, team workload, campaign performance, or what was outstanding. Work was happening; visibility was not.

The build is a Business Intelligence Command Center: one layer that logs activity, surfaces status, and gives the owner and team a reliable picture of the business. Less guesswork, more structured operations.

The challenge

Where clarity was missing

Business owner

  • No reliable view of which leads were new, contacted, or waiting on a reply.
  • Invoices sitting unpaid with no clear view of outstanding or overdue cash.
  • Revenue, pipeline, and potential spread across spreadsheets with no single source of truth.
  • Ad and social activity with no clear link back to leads, bookings, or workload.
  • Decisions made from memory and inbox searches instead of live data.

Team

  • Unclear priorities and constant status-check calls.
  • Duplicate tools: email, chat, calls, and social DMs in different places.
  • Workload and bottlenecks invisible, making capacity planning guesswork.
What we built

AI Business Intelligence & Operations Command Center

We did not deliver a CRM with AI bolted on. We built operational infrastructure: one ecosystem where communication, pipeline, content, scheduling, and reporting connect so the business can be run from a clear, shared picture.

System modules

Ten integrated layers, not feature stacking, but shared infrastructure.

  • 01

    Admin Dashboard & Business Intelligence

    Operational Clarity Layer

Challenge: Revenue, outstanding invoices, pipeline value, and team performance lived in spreadsheets and email.

Built: Centralised dashboard with revenue vs outstanding, visual pipeline status, workload transparency, and trend analysis.

Outcome: One place to see business health. Decisions from data, not guesswork.

  • 02

    Conversational AI Infrastructure

    Always-On Communication Layer

Challenge: Inbound messages sat in different apps with no shared history or status for the team to see.

Built: 24/7 AI engagement across channels, fast first response, structured qualification, and every conversation logged against the lead record.

Outcome: The team sees who was contacted, when, and what was said without digging through inboxes.

  • 03

    Calls & Chat Intelligence

    Auditability + Training Intelligence

Challenge: No recordings, no training library, no objective record when conversations needed review.

Built: Every call recorded and chat logged; AI categorises outcomes, duration, objections, and patterns.

Outcome: Reviewable history for training, accountability, and dispute resolution.

  • 04

    AI Lead Prospecting Engine

    Pipeline Visibility

Challenge: New opportunities lived in notes and spreadsheets with no consistent view of who was in play.

Built: ICP defined in Truth Chat; industry and geography filters; prospects added to the pipeline with clear stage and owner.

Outcome: Incoming work visible in one pipeline instead of scattered lists.

  • 05

    Unified Scheduling & Automation

    Central Nervous System of Operations

Challenge: Double bookings, missed follow-ups, no-shows, calendar conflicts.

Built: Google calendar sync, AI confirmations, 24h and 2h reminders, overdue appointments flagged.

Outcome: Fewer no-shows, clear daily overview, no calendar chaos.

  • 06

    Unified Email + AI Composition

    Communication Intelligence Hub

Challenge: No open/click visibility, spam risk, and no clear record of what was sent to whom.

Built: Campaigns through CRM with open, click, bounce tracking, list hygiene, and device insights.

Outcome: Campaign activity logged and reviewable in one place.

  • 07

    Truth Chat & Project Intelligence

    Brand Intelligence Layer

Challenge: Generic AI output that did not match offer, ICP, or brand voice.

Built: Foundation layer trained on offers, ICP, positioning, case studies, and scripts before any automation runs.

Outcome: Brand-consistent responses across email, social, conversations, and ads.

  • 08

    Weekly Content Engine

    Plan, Publish, Measure, Improve

Challenge: Last-minute posts and no feedback loop from performance to planning.

Built: Structured weekly planning, trend analysis, publish workflow, and continuous refinement.

Outcome: Content planned and tracked with performance visible week to week.

  • 09

    Business Asset Generator

    Strategic Clarity Automation

Challenge: ICPs, SOPs, and positioning docs rebuilt manually for every initiative.

Built: On-demand ICP, SOP, market analysis, offer refinement, and positioning documents.

Outcome: Strategic assets at speed without starting from blank pages.

  • 10

    Social + Ads Integration

    Channel Visibility

Challenge: Facebook and Instagram spend and DMs sat in separate apps with no link to leads or pipeline status.

Built: Unified social inbox, Meta integration, per-lead source tagging, and spend visible alongside pipeline data.

Outcome: Marketing activity, messages, and pipeline status visible in one operational view.

Architecture

How work flows through the system

  1. 1

    Capture

Forms, chat, calls, email, and social messages land in one system with a clear record.

  2. 2

    Classify

Leads and projects move through defined stages so everyone sees status at a glance.

  3. 3

    Communicate

AI and team replies are logged; calls and chats stored for review and training.

  4. 4

    Schedule

Bookings sync to calendars with reminders and flags when appointments slip.

  5. 5

    Track finance

Revenue, outstanding invoices, and pipeline value stay visible on the dashboard.

  6. 6

    Plan content

Weekly content planned, published, and reviewed against performance data.

  7. 7

    Report

Trends, workload, and channel activity roll up so the owner operates from live data.

Operational discipline

  • Log every interaction; never manage leads outside the CRM.
  • Use AI copilot suggestions before sending replies.
  • Update pipeline stages daily and mark tasks complete in-system.
  • Failure to log means invisible work and invisible performance.
Results

Impact

  • Single view of pipeline status across the business.
  • Revenue, outstanding invoices, and trends visible without spreadsheet hunts.
  • Every call, chat, and email logged for accountability and review.
  • Team workload and priorities clear, with fewer status-check meetings.
  • Content and campaigns planned with performance visible week to week.
  • Social and ad activity linked to leads and pipeline in one place.
  • Owner and team operating from shared data instead of scattered tools.

This is not a CRM. It is a business intelligence command center built for clarity: structured operations, visible pipeline, and reliable reporting for visibility businesses, PR agencies, and brands that have outgrown spreadsheet chaos.
